Copilot training for companies: Microsoft Copilot, formerly Microsoft 365 Copilot

Colombani.ai's Copilot training prepares your teams for Microsoft Copilot, the name Microsoft 365 Copilot has carried since August 2026, and for Copilot Chat, in Word, Excel, PowerPoint, Outlook and Teams, on their own documents, meetings and email. It does not cover GitHub Copilot, the developers' assistant. A separate track, run with your IT department before the session, settles the Microsoft 365 settings the day depends on.

Colombani.ai's Copilot training, from a Qualiopi-certified provider (certificate QUA009472), is a 7-hour day for one to ten participants. It works with the Microsoft Copilot licence as well as with Copilot Chat alone, included at no extra cost in eligible Microsoft 365 subscriptions; the programme adapts to what your teams have. The exercises work on output produced by Copilot, in which the participant checks every statement before using it. Prices start at €1,800 excl. VAT per day for an in-company group; the final price depends on group size and is set in a quote, with possible OPCO funding.

Rollout in a large organisation

Beyond a single team, we support rolling Copilot out in waves: a review of your Microsoft 365 settings, choice of the first groups, training of internal champions and ambassadors, measurement of adoption after each wave. On quote, after a first conversation.

The new name

Microsoft Copilot, Copilot Chat, GitHub Copilot: which is which?

Microsoft renamed Microsoft 365 Copilot to Microsoft Copilot in August 2026, according to the change log of its October 2026 Copilot Credits Guide; the admin documentation now reads "Microsoft Copilot (formerly Microsoft 365 Copilot)" (source). The French pricing pages still show the old name. Four products carry the word Copilot in an organisation, and the confusion can start at sign-up.

Before the course

Before the course, what your administrator needs to settle

Copilot inherits the settings of your Microsoft 365 environment (the tenant, in Microsoft's vocabulary), and several of them are on by default. None of them rules out deploying Copilot; each calls for an explicit decision by IT and the data protection officer, taken before teams work on their documents. Here are the five we have settled, as Microsoft's documentation described them on 30 October 2026. The IT track records them in a decision log approved by IT and the data protection officer.

  1. 01

    Overly broad sharing in SharePoint

Copilot creates no access: it surfaces what is already shared too widely.

Copilot only surfaces organisational data the user can at least view (source). A folder mistakenly shared with the whole company therefore becomes the answer to the first question asked. SharePoint Advanced Management, a SharePoint administration module included in the Copilot licence, finds these cases: reports on potentially overshared sites, insights on content open to "Everyone except external users", access reviews handed to site owners (source, source).

While fixes are under way, Restricted Content Discovery, a setting that takes a site out of search, removes it from organisation-wide search and from Copilot's answers. It is a temporary measure, to be used sparingly: it changes no access right and does not apply to OneDrive (source).

Decision to take: which sites to review before the course, which to take out of search for the time being, and IT's agreement to the access rights test planned for the day, of which it is informed beforehand.

  2. 02

    Teams meeting transcription

The default setting requires a saved transcript to use Copilot in meetings.

Copilot can run during a meeting without keeping anything, using temporary speech-to-text. But the default policy, "On with saved transcript required", forces organisers into the "during and after the meeting" mode, and therefore a saved transcript, without letting them change it. To give them the choice, the administrator sets the policy to "On". Even without a transcript, prompts to Copilot may be retained under your retention policies in Purview, Microsoft's compliance tool, and Copilot is not available in end-to-end encrypted meetings (source).

Decision to take: the meeting policy chosen, the meetings where transcription stays excluded, and the rule that informs participants before any recording.

  3. 03

    Anthropic and xAI models

Copilot respects the EU Data Boundary, but some third-party models are excluded from it.

The EU Data Boundary is the area within which Microsoft commits to store and process its European customers' data (source). Microsoft states that the Anthropic models used in Copilot, Researcher, Copilot Studio and the Microsoft 365 apps are currently excluded from it; in the EU, the setting that enables them defaults to "No users", and only an AI Administrator or a Global Administrator can change it (source).

A second setting, "Copilot in Microsoft 365 apps with Anthropic models", is however on by default for EU environments created after 25 March 2026: when these models serve in Word, Excel or PowerPoint, processing takes place outside the EU Data Boundary (source). Cowork uses Anthropic models (source) and requires them to be enabled (source). Anthropic models "with Data Retention" are always enabled separately: Anthropic then keeps the data, outside Microsoft's Data Protection Addendum (source).

In Copilot Studio and Cowork, the administrator can also open up models from SpaceXAI, Microsoft's name for xAI. They are hosted outside Microsoft, and neither Microsoft's contractual terms, nor its addendum, nor its data residency commitments apply to them (source).

Decision to take: after checking your environment's creation date and the actual state of these settings, keep the Anthropic models, reserve them for certain groups or forgo them, and Cowork with them; keep the retention models and the xAI models closed, or not.

  4. 04

Routing outside Europe at peak load

Flex routing allows requests to be processed outside Europe at peak times.

With flex routing, responses may be computed in the United States, Canada or Australia during peak load. Stored data stays within the EU Data Boundary, except for limited pseudonymised data. The setting is on by default for eligible environments created after 25 March 2026, and the administrator can turn it off at any time in the Microsoft 365 admin center, under Copilot, then Settings (source).

Decision to take: accept steadier service at busy times, or keep all computing in Europe at the cost of answers that are sometimes slower.

  5. 05

    Web search

Queries sent to the search engine fall outside the Data Protection Addendum.

When Copilot searches the web, it sends Bing a query derived from the prompt. Microsoft specifies that its Data Protection Addendum does not apply to these queries, that the EU Data Boundary does not apply either, and that Microsoft then acts as data controller. The "Allow web search in Copilot" policy controls this feature; if it is not configured, web search stays available (source).

Decision to take: leave web search open, turn it off for certain groups or turn it off everywhere, and explain this to teams.

What the law asks of your organisation

According to Microsoft, prompts, responses and data accessed through Microsoft Graph are not used to train foundation models (source). Compliance nevertheless rests with your organisation. For personal data processed by Copilot, Microsoft acts as processor, and GDPR Article 28(3) requires a contract governing that processing: this is the role of Microsoft's addendum, which precisely excludes web search queries. If the intended use is likely to result in a high risk for individuals, for instance an assistant reading every mailbox in a department, Article 35 requires an impact assessment before the processing.

For lawyers, accountants and other professions bound by professional secrecy, these settings are not enough to decide what may be entrusted to Copilot: the AI training for regulated professions addresses that question.

Article 4 of the EU AI Act, applicable since 2 February 2025 under its Article 113, was replaced by Regulation (EU) 2026/1744 of 8 July 2026, published in the Official Journal on 24 July 2026. It asks deployers of AI systems to take measures to support the development of AI literacy among their staff, without requiring them to guarantee a set level of literacy for each person. In its Q&A of 18 July 2024 on generative AI, the CNIL, France's data protection authority, recommends framing use through a policy that defines authorised and prohibited uses, training users and involving the data protection officer. Documented training and the policy it produces meet both expectations.

Free or paid

Free Copilot Chat or a paid licence: what each one really allows

Copilot comes in three forms. Copilot Chat is the chat included in Microsoft 365. The licence adds Copilot in the apps and access to the organisation's data. Finally, Microsoft bills separately, in Copilot credits, a unit of consumption, the work handed to agents that progress on their own for hours: Cowork, which carries a task through from start to finish across the Microsoft 365 apps, Code, which builds small applications, and Autopilot, an agent that works continuously. List prices shown by Microsoft France on its enterprise plans page, its small business page and its Copilot Studio page, in euros excluding VAT, read on 30 October 2026.

The Copilot Studio for business guide turns the credit rates into worked examples.

Licence and credits

The licence, and credits for work handed to agents

Most licence holders pay only for the licence. Credits only concern work handed to agents: Cowork has been billed by usage since its general availability on 16 June 2026 (Microsoft post), and Microsoft formalised this two-tier model on 25 September 2026 (source). Code is rolling out in Microsoft's Frontier programme, open to customers who opt in, and Autopilot is in private preview (source).

Limit"Fair use": beyond it, a warning, then the choice between Auto mode, at no extra cost, and creditsThe budgets set in the spending policy, for the organisation, per group and per user

For enterprises, nothing is billed by usage before a spending policy is created

  • For enterprise customers, usage-billed services stay off until an administrator creates a spending policy in the Microsoft 365 admin center (source). Cowork therefore only works once that decision has been made.
  • Once created, the policy extends by default to future usage-billed services: the "Auto-apply new services" setting is on by default and can be turned off policy by policy (source).
  • Cowork requires four conditions according to the credits guide: the Copilot licence, Cowork enabled, usage-based billing enabled and Anthropic models enabled, which bear on the EU Data Boundary.
  • For Copilot Chat users without a licence, an agent that reads internal data, for example in SharePoint, is billed by usage, whereas it costs licence holders nothing extra; these paid agents are off by default (source).
  • Copilot Studio packs are a separate expense: once bought, they are paid every month, whether used or not (source).

What we settle with you: who may use Cowork, the pilot phase budget, the cap per group and the automatic extension setting, before the first task is launched.

Why rollouts fail

What makes a Copilot rollout fail

The most quoted figures come from a Gartner survey of 132 IT leaders in June 2024, reported by Computerworld on 27 September 2024. They are dated, but they describe obstacles Microsoft's documentation still addresses today: oversharing of data and the difficulty of day-to-day adoption.

  • 40%

of respondents had delayed their rollout by three months or more because of data oversharing, according to Gartner, cited by Computerworld on 27 September 2024.

  • 6%

had finished their pilot and were planning a large-scale rollout, while 60% had started one, according to the same survey.

  • 72%

said employees struggled to integrate Copilot into their daily routines, and 57% that usage dropped off quickly after launch.

  • 73%

needed more change management than expected, and 87% said users required frequent engagement and education.

More recently, IT Brief reported on 23 July 2026 a survey by CoreView, which sells a SharePoint control tool and is therefore not neutral: 66% of the 279 decision-makers surveyed had paused or stopped their rollout for fear that AI would expose confidential SharePoint data.

What the course does differently

Your own documents, meetings and email

Each participant works in their own Microsoft 365 environment, on a real Teams meeting, a week of their email and a deliverable from their job.

Checking that can be measured

The minutes exercise uses a meeting whose output contains a mistake to spot: a misattributed decision, a distorted deadline, a misspelt name. It only counts as passed once the participant finds it. The goal is the habit of checking every statement, not the output itself.

A policy agreed by the team

What may be entrusted to Copilot, what may not, what gets checked before anything is sent: the team writes its usage policy during the session, from the cases handled that day. The trainer asks the questions; he does not decide for the team.

We supported a large logistics group where Microsoft's assistant was the only AI tool allowed, with no admin rights for the project team; the engagement was not a Copilot training course. That setting means starting from what the environment already allows, and having those with the rights settle in advance what the course cannot change by itself.

The two tracks

One track for users, one track for IT

The users' day is part of Colombani.ai's Qualiopi catalogue, under the title "Microsoft 365 Copilot for everyday work". The IT track is a separate scoping engagement that prepares the Microsoft 365 environment before the course.

The users' day, sequence by sequence

The four sequences of the programme, with their length. The learning objectives are those of the catalogue; the content reflects the state of Copilot as at 30 October 2026.

  1. 1 h 30

Understanding Copilot and setting the rules

Copilot Chat, Copilot in the apps and agents; what Copilot sees, through inherited access rights; the access rights test prepared with IT; a first well-built prompt on a real file: context, source, format, tone.

  2. 2 h

    Meetings and email

Preparing, following and using a Teams meeting under the chosen transcription policy; sorting, summarising and drafting in Outlook; what Copilot misses in a meeting: things left unsaid, implicit decisions, misspelt names. Assessed exercise, on the minutes of a real meeting: it is passed only if the mistake is found.

  3. 2 h

    Documents, figures and presentations

Word from sources; Excel with Copilot in edit or chat mode, since the =COPILOT() function was retired on 14 September 2026 (source); PowerPoint from a Word document; a research note with Researcher, limited to 25 queries per user per month (source), prepared so as not to use up that quota.

  4. 1 h 30

    Agents and team routines

An agent built with Agent Builder on the team's documents; the point at which Copilot Studio becomes necessary, since Agent Builder cannot act on external services (source); Cowork demonstrated if your environment has enabled it; the usage policy and three routines per participant.

Rolling out Copilot

The rollout decisions the course has you settle

Beyond the environment settings, six decisions determine what Copilot will bring your teams. Each is taken with you during the briefing, the scoping or the day itself.

In short, for leadership

Copilot Chat is enough to learn how to write a prompt and check an answer. The licence pays off for people whose work runs through meetings, email and shared documents. Rolling out Cowork is decided separately, with a budget, once the question of Anthropic models is settled.

  1. 01

    Who gets a licence

The day shows, on the same tasks, what Copilot Chat does and what the licence adds. Licences are then allocated according to the gaps observed, rather than handed out to everyone.

What we settle with you: the list of roles and people to equip first.

  2. 02

    Authorised and prohibited uses

Personal data, documents covered by secrecy, client email: the policy says what may be entrusted to Copilot and what is checked before anything is sent. It also replaces unframed use, for example a consumer assistant each person uses on their own, with a shared rule.

What we settle with you: the usage policy, written by the team in the session.

  3. 03

Who builds and who publishes agents

An agent meant for the organisation is submitted to the administrator, who approves it before it appears in the Agent Store, the organisation's agent catalogue; every shared agent is listed in the Agent Registry, the inventory kept by the administrator (source).

What we settle with you: the named builders, the approval process and any move to Copilot Studio.

  4. 04

    Cowork: now or later

Since June 2026, Cowork has been available to every organisation with the licence, with usage-based billing and limits per user or per group (source). It presupposes the decisions on credits and on Anthropic models.

What we settle with you: the pilot group, its budget and the task that will serve as the test.

  5. 05

    Data settings

The five decisions of the IT track, taken in writing before the course.

What we settle with you: the decision log approved by IT and the data protection officer.

  6. 06

    Measuring at thirty days

A follow-up survey, thirty days after the course, collects what each participant says they have kept of their three routines. The Copilot Dashboard in Viva Insights, available without a Viva Insights or Copilot licence for business Microsoft 365 subscriptions (source), adds actual measured usage to that self-report.

What we settle with you: the routines tracked, the indicators chosen and the review date.

Prepare these decisions before the course

One first conversation is enough to review your licences, your environment's creation date and your current settings.

Use cases

Copilot use cases by role, with a sample prompt

The day works through situations such as these, each with the application used, a sample prompt and the check that closes it.

  • Leadership

    The minutes of a committee

Copilot in Teams, after a meeting transcribed with participants' agreement.

"List the decisions made in this meeting, each with the person responsible and the deadline stated, then the points left undecided."

Check: the participant compares each decision with their own notes and spots the one that was misattributed.

  • Sales

Pick up a client file after time away

Copilot in Outlook, on recent exchanges with the client.

"Summarise my exchanges with this client since 1 October: what they asked for, what we promised and the questions left unanswered."

Check: the salesperson opens the two oldest emails cited to check the commitments.

  • Finance

    Explain budget variances

Copilot in Excel, in edit mode, on the tracking workbook.

"Add a column calculating the variance between actuals and budget for each row, flag variances above 10% and do not change any existing data."

Check: the controller recalculates three randomly chosen rows by hand.

  • HR

    An agent for new joiners

Agent Builder, on the SharePoint folder of internal procedures.

"Answer new employees' questions using only the procedures in this folder, cite the document behind each answer and say when the information is not there."

Check: HR asks ten typical questions, two of which have no answer in the procedures.

  • Law or advisory firm

Compare two versions of a contract

Copilot in Word, on both versions of the document, once the rule on professional secrecy is set.

"Compare this version of the contract with the previous one, list each changed clause with its number and the effect of the change for our client, and do not edit the document."

Check: the lawyer checks each clause flagged and reviews those Copilot did not mention.

  • Communications agency

    Turn a brief into proposals

Copilot in Word then in PowerPoint, with the agency's presentation template, for a team that had been testing several tools each on their own.

"From this client brief, propose three creative directions, each with a headline, three social media variations and the risks to flag, then prepare a six-slide presentation with our template."

Check: the project lead checks each direction against the brief's constraints before anything is shown to the client.

These prompts are starting points: in training, each is rewritten on a real document from your teams, then filed in the sample prompt sheet given to each participant.

Price

Copilot training prices

From €1,000 excl. VAT per half-day and €1,800 per day for an in-company group; final price depends on group size and length, on quote. Microsoft licences and credit consumption are paid by the client; the IT track is quoted separately.

FAQ

Frequently asked questions about Copilot training

Another question? Book a call →
What is Colombani.ai's Copilot training?

A 7-hour day, for one to ten participants, on Microsoft Copilot, formerly Microsoft 365 Copilot, and Copilot Chat in Word, Excel, PowerPoint, Outlook and Teams. Participants learn to check what Copilot produces and build a first agent. Colombani.ai is a Qualiopi-certified provider.

Which Copilot training should a company choose?

Training delivered in the organisation's own Microsoft 365 environment, rather than an app-by-app demonstration. Colombani.ai's adds an IT track that settles, before the session, the data and spending settings the day depends on.

Is Copilot Chat training possible without a Copilot licence?

Yes. Copilot Chat, included in eligible Microsoft 365 subscriptions, lets participants practise writing prompts, drafting, summarising the files they provide and checking. Outside Outlook, it does not draw on the organisation's email, meetings and documents as a whole: those exercises require the licence. The day shows the gap, which helps decide who should get licences.

Are Microsoft Copilot and Microsoft 365 Copilot the same product?

Yes. Microsoft renamed Microsoft 365 Copilot to Microsoft Copilot in August 2026, and Microsoft 365 Copilot Chat to Microsoft Copilot Chat. The French pricing pages still show "Microsoft 365 Copilot" as at 30 October 2026. GitHub Copilot, the developers' assistant, is a different product, not covered by this course.

Is Copilot free?

Copilot Chat is available at no extra cost to users with an eligible Microsoft 365 subscription. The Microsoft 365 Copilot licence costs €26.00 excl. VAT per user per month on annual payment for enterprises, and Copilot Business €18.20 excl. VAT, brought down to €15.60 by a promotion valid until 31 December 2026 for the first year. Cowork is paid on top, by usage. French list prices read on 30 October 2026.

Is Copilot GDPR compliant?

Microsoft acts as processor for data handled by Copilot and governs that processing through its Data Protection Addendum. Compliance nevertheless rests with your organisation: a processing contract under GDPR Article 28, an impact assessment under Article 35 where the use carries a high risk, and decisions on the settings that take data outside that framework, such as web search, which the addendum does not cover.

Copilot for business: how confidential is our data?

According to Microsoft, prompts and responses are not used to train the models, and Copilot only shows each person what they can already view. Several points remain to be decided: Anthropic models, excluded from the EU Data Boundary and on by default in Word, Excel and PowerPoint for EU environments created after 25 March 2026; xAI models, outside Microsoft's contractual commitments; flex routing, which can process requests outside Europe at peak load; and web search.

How much does Copilot Cowork cost?

Cowork has no fixed price: it requires the Copilot licence and consumes Copilot credits, billed at $0.01 per credit on pay-as-you-go according to Microsoft's credits guide. For enterprises, nothing is billed by usage before the administrator creates a spending policy; that policy sets the budgets for the organisation, per group and per user. Cowork also requires Anthropic models to be enabled.

How much does the Copilot training cost?

From €1,800 excl. VAT per day for an in-company group; final price depends on group size and length, on quote. Microsoft licences are paid by the organisation, and the IT track is quoted separately.

Can the Copilot training be funded by an OPCO?

An application can be made: Colombani.ai is Qualiopi-certified (certificate QUA009472). Funding is requested from the company's OPCO, or from the FIF-PL for self-employed professionals, and the decision rests with the funder. The training is not eligible for CPF.

Does each participant need a licence?

For the whole programme, yes: each participant needs an active Copilot licence, checked during the needs analysis rather than on the day. Failing that, the day runs on Copilot Chat, with an adapted programme, or on a test environment provided by the company, at the cost of exercises less close to real work.

Does the Copilot training lead to a certification?

No. It is delivered by a provider that is Qualiopi-certified for training and leads to an end-of-training certificate listing the objectives achieved. It is not registered with France Compétences.
