Gemini training for companies, in your Google Workspace

Colombani.ai's Gemini training for companies teaches your teams to use Gemini where they already work (Gmail, Docs, Sheets, Slides, Drive and Meet), as well as Gemini Notebook, skills (Google's reusable instructions) and Deep Research, on their own files.

Colombani.ai's Gemini training for companies, from a Qualiopi-certified provider (certificate QUA009472), takes place in the organisation's Google Workspace domain: half a day for leadership, one day for business teams, from €1,000 excl. VAT per half-day and €1,800 per day, with possible OPCO funding. Before the session, your administrator checks with us each participant's edition and the Workspace smart features, which are off by default in the European Economic Area although Gemini depends on them. On the day, everyone works on their own documents and leaves with a skill written for their role.

Rolling out across a large organisation

Beyond one or two groups, the rollout happens in waves, on quote: a pilot team, then each department from its own cases, internal leads and trainers prepared to take over, and usage tracked through the Gemini reports in the console.

The first obstacle

In Europe, Gemini depends on a setting that is off by default

The Workspace admin help, updated on 16 July 2026, puts it this way: "If your domain is based in the European Economic Area, Japan, the United Kingdom or Switzerland, Workspace smart features and related controls are turned off by default" (source). The page governing access to Gemini, updated on 15 October 2026, adds that users must have smart features and personalisation turned on to access Gemini in Workspace services (source).

A French organisation can therefore pay for a Business Standard subscription, see Gemini switched on in the console, and find that its staff see nothing in Gmail or Docs. Some features even need two settings at once: AI Overviews in Gmail search require both "Smart features in Gmail, Chat and Meet" and "Google Workspace smart features" to be on (source).

The administrator can set a default rule for users, which each person can then change in their own settings (source). It is the first of the nine checks below.

For your administrator

For your administrator: nine checks before the course

In three lines, for leadership

A week before the session, your Workspace administrator and Colombani.ai check that each participant can actually see Gemini in their apps. Access to Gemini Notebook, connectors and automations stays limited to the pilot group. You receive the list of settings chosen for your domain.

Console paths and default values were taken from Google's help on 30 October 2026.

  1. 01

    Each participant's edition

Business Starter does not include Gemini in Docs, Sheets or Slides, and the Gemini app reads much less text at once there: its context window, meaning how much text Gemini can take into account at once, is 30 times smaller than from Business Standard upwards (source). A participant with only a Starter licence follows a reduced programme: better to know before the session.

  2. 02

    Smart features

A default rule must be switched on for the participants' organisational units, otherwise Gemini stays invisible in the apps (source).

  3. 03

    The Gemini app

Menu > Generative AI > Gemini app. Access is set per organisational unit or configuration group, groups taking precedence over units, and a change can take up to 24 hours (source).

  4. 04

    Gemini in the apps

Menu > Generative AI > Gemini for Workspace > Feature access. The default is "on"; the app-by-app choice (Gmail, Calendar, Drive and Docs, Meet) is reserved for Enterprise Standard and Plus. Even when Gemini is off in one app, it can read that app's data from another (source).

  5. 05

    Gemini Notebook

It can be turned on for the whole organisation, or for one organisational unit or group (source). Open it to the pilot group only, once the rule on permitted documents is set (see below).

  6. 06

    Connectors to other software

Since 15 September 2026, Gemini in Workspace works in Asana, Atlassian Rovo, HubSpot, Mailchimp, QuickBooks, Monday and Salesforce through MCP connectors (a standard protocol linking an AI assistant to other software). They are on by default and are set per domain, organisational unit or group, in the console under Apps > Google Workspace Marketplace apps > Apps list (source).

  7. 07

    Workspace Studio

Custom starters and steps, third-party integrations, in beta, and webhooks (automatic calls to a web address) are off by default (source). Approval by a person before a flow runs is set under Menu > Apps > Google Workspace > Workspace Studio (source).

  8. 08

    Conversation history

The Gemini app keeps history for 18 months by default; the administrator can choose 3, 18 or 36 months, or turn history off (source), in which case new chats are kept for up to 72 hours (source). The period is decided with the data protection officer.

  9. 09

    The release pace

A Scheduled Release domain gets a new feature after a Rapid Release domain: for Gmail's AI Inbox, on 26 October instead of 12 October, then up to fifteen days before every user sees it (source). Two participants in the same group may therefore not see the same screen.

What you receive before the session: these nine settings filled in for your domain, with what stays closed until the end of the pilot project.

Editions

What each Workspace edition really includes

List prices per user per month, excluding taxes, with an annual commitment, read on 30 October 2026 on the French Google Workspace pricing page. Features and caps: Business editions comparison and usage limits page, both updated on 30 October 2026. Subscriptions are paid by your organisation.

On 30 October 2026, the pricing page shows a 50% discount on all three Business editions for the first three months, from 12 November 2026 to 12 February 2027 for a subscription that day, for new customers and the first twenty users added (source); the table gives the reference prices. The AI Expanded Access add-on raises the caps, for instance up to 600 Thinking prompts a day; Google does not publish its price (source). The guide to Gemini for business works out the subscription cost by organisation size.

Can we put a client file into Gemini with our edition?

Business Starter, Standard and Plus. Gemini only reads content the user can already access (source). Data can be stored in Europe from Standard upwards, but it is not processed in Europe (source). Business Plus adds conversation export with Vault (source).

Enterprise Plus. Data processing in Europe and logging of Google staff access become possible; with the Assured Controls add-on, client-side encryption prevents Gemini from reading encrypted content (source).

In every edition, Gemini Notebook is the exception: data regions do not apply to its data (see below). The choice of edition does not, on its own, settle the question of professional secrecy, which the AI for regulated professions training covers.

France and French

What is not available in France or in French as at 30 October 2026

Four recent features announced by Google do not appear on the screen of a French employee whose account is in French.

  • Gmail's AI Inbox, which extracts tasks and deadlines from emails: limited to users in the US with US English, since 12 October 2026 (source).
  • AI Overviews in Gmail search: opened worldwide on 15 September 2026, but only when Gmail's language is English (source).
  • Sheets canvas, which turns a spreadsheet into an interactive mini-app: on the web, for accounts in English (source).
  • Ask Gemini in Chat, which replaces the Google Chat side panel only for English-language accounts; other languages keep the panel (source).

The course runs on the real screen of an account in French; a feature reserved for other countries or for English is shown as such, without suggesting it will be available.

Gems and skills

From Gems to skills: the timeline

Skills are reusable instructions that users call in the Gemini app and, eventually, in most Workspace apps; several skills can be combined in one prompt. They are built on the open SKILL.md format, so a skill written for another platform can be copied into Gemini (source); Claude uses the same format, which avoids tying a team's instructions to a single vendor.

They do not sync between the Gemini app and Workspace apps: to use one in both, it will have to be created twice. A skill builder is offered in Google Docs (source).

  1. 30 September 2026

Skills announced, Gems to be retired

New Workspace Studio flows can no longer use the "Ask a Gem" step; existing flows keep working (source).

  2. 13 October 2026

Skills in the Gemini app, delay in Workspace

Rollout starts in the Gemini app and should be complete by mid-November; in Workspace apps and Workspace Studio it is delayed, with no new date announced (source).

  3. 17 November 2026

    Gems move to Settings

Gems will move to the Settings panel of the Gemini app; they will still be usable and editable (source).

  4. No sooner than 1 March 2027

End of Gems for Business and Enterprise

Gems will no longer be able to be created, edited or used, Studio flows that call them will stop, and the remaining Gems will become draft skills. Google will notify admins at least thirty days before the automatic migration (source).

What we decide with you: an inventory of the Gems your teams rely on, the order in which the most used are rewritten as skills, and the rule of creating no new flow that depends on a Gem.

Gemini Notebook

Gemini Notebook, formerly NotebookLM: what it does not cover

Google renamed NotebookLM to Gemini Notebook on 16 July 2026; according to the announcement, it is "the same standalone product" (source). It answers only from the sources you give it, with citations; since 23 September 2026, typing "@" in Google Docs cites a notebook as a source (source). Five points set it apart from the rest of Workspace.

  • Drive files are copied

A source imported from Drive becomes a copy, stored with the user's Gemini Notebook data and not in their Drive (source).

  • Data regions do not apply

The admin page states that the organisation's data region settings "don't apply to data processed and cached by Gemini Notebook" (source). A document added to a notebook therefore leaves the region chosen for Workspace.

  • External sharing has four levels

Since 10 September 2026, the administrator chooses between no sharing outside the domain, the default, sharing limited to trusted domains, sharing with any external address, or public notebooks accessible by link (source).

  • No data loss prevention

Gemini Notebook is not integrated with Workspace data loss prevention; information rights management, which blocks download, copy and print, does prevent files from being imported (source).

  • Two contradictory answers on certifications

Reread on 30 October 2026, two Google pages contradict each other: the Gemini Notebook admin page lists certifications (source), while the privacy hub answers that Gemini Notebook does not support ISO, SOC or FedRAMP compliance (source). Get Google's answer confirmed in writing before putting sensitive data in it.

When a notebook's data must stay in a given geographic area, Google points to Gemini Enterprise, and also sells Gemini Notebook Enterprise separately, up to 5,000 licences (source). For the most sensitive documents, a model installed on your own servers is another option, covered in the Local AI training.

What we decide with you: the list of documents permitted in a notebook, the pilot group with access, and rights management on the most sensitive folders.

Example of adaptation

For a communications agency

  • Client decks in Slides: generate a first version of a recommendation from the brief and the agency's documents, then rework it by hand.
  • Content variations: a skill carrying a client's editorial guidelines, to adapt one message into an email, a post and a press release, each text reviewed before sending.
  • Separation by client: one shared drive and one Gemini Notebook per client; since Gemini only reads what the user can access (source), each drive's permissions decide what it can combine.

AI compliance

For the legal department and the data protection officer: AI system mapping, risk register, impact assessment template and a compliance plan ranked by priority.

Rolling out across an organisation

After the training, a thirty-day activation: your first real tasks, drop-in sessions, a check-in with your internal leads on day seven, then a review with leadership on day thirty, ending with a decision (continue, adjust, extend, pause). If you continue, monthly cycles take over: one day on site and tool development between sessions, with no fixed term.

Going further

Workspace Studio and Gemini Enterprise: how far to go

Workspace Studio and its usage limits

Workspace Studio chains steps handed to Gemini, after an event or at a set time, and is part of every Business edition (source). As at 30 October 2026, the usage limits page lists it as "promotional access", with no date or limit figures (source).

Since 17 September 2026, a flow can run an Apps Script, act in Jira, Salesforce or Slack, or call a webhook (source). A flow that sends an email or changes data in third-party software deserves approval by a person, set in the console rather than written in a prompt.

Gemini Enterprise, when Workspace is no longer enough

Gemini Enterprise is a separate Google Cloud offering. Its Business edition is listed "starting at $21 per seat per month", with a free 30-day trial (source), for 1 to 500 users (source), and can be added to the Workspace subscription (source). Google recommends it for working with data beyond Workspace, using Google-made, custom or third-party agents, and keeping Gemini Notebook data in a chosen area (source).

Gemini 4 Argon has been available there since 13 October 2026 and on by default since 27 October (source). On 8 October, Google presented an agent that works like a colleague, with its own Workspace account: address, calendar, Drive and a directory entry (source); no availability date has been published. Such an agent would hold Drive permissions: over-broad sharing would then become a security matter.

Rolling out Gemini

The rollout decisions the course helps you settle

Six decisions shape what your teams will be able to do with Gemini. Each is checked against Google's documentation, reread on 30 October 2026, and settled during the briefing or the course.

In short, for leadership

Business Standard is the first edition that puts Gemini in Docs, Sheets, Slides and Meet. Business Plus becomes necessary to export conversations with Vault, Enterprise Plus to process data in Europe or log Google's access. Before opening access, the organisation needs to write three rules: what teams may hand to Gemini and Gemini Notebook, who administers, and what a flow may do without approval.

  1. 01

    Edition and licences

Decide who works on Starter, who moves to Standard and who gets the AI Expanded Access add-on; an employee who hits a cap shows up in the Gemini reports dashboard (source).

Deliverable: licence allocation by team, to be reviewed after a month of measured use.

  2. 02

    The data handed to Gemini

Gemini only retrieves content the user can already access (source). A file shared too widely therefore becomes findable with a simple question: Drive sharing is reviewed before rollout. Client-side encryption prevents Gemini from reading encrypted content (source).

Deliverable: the list of permitted, to-be-anonymised and prohibited data, tool by tool, Gemini Notebook included.

  3. 03

    Retention and export of conversations

Since 22 October 2026, Vault exports Gemini conversations from Gmail, Drive, Docs, Sheets, Slides and Meet in JSON, per user or organisational unit, from Business Plus; retention rules and litigation holds will follow "in future releases" (source). The employer can thus read what staff ask Gemini: the decision is taken with the data protection officer and staff representatives, and employees are informed.

Deliverable: the history period, the use of Vault and the notice given to employees.

  4. 04

    Connectors and automations

Connectors to Salesforce, HubSpot or Asana are on by default (source); Workspace Studio steps to third-party software are off by default (source). The two settings point in opposite directions: each deserves an explicit decision.

Deliverable: what opens on day one, what waits until the end of the pilot, and the approval level for each flow.

  5. 05

    Gems and skills

Gems will stop working no sooner than 1 March 2027 for Business and Enterprise, and skills have not yet reached Workspace apps (source). Writing team instructions as skills now avoids having to rewrite them.

Deliverable: the Gem inventory, the order in which they are rewritten and who publishes shared skills.

  6. 06

    Measuring at thirty days

The Gemini reports in the console (Menu > Generative AI > Gemini reports) show active users, usage by app and people who have reached a cap, over 28 days by default (source). Without a target set per department, the figure says nothing.

Deliverable: a usage target per department, a named lead, and a reading of the dashboard a month after the course.

Prepare these settings before the course

One first conversation is enough to check the edition, smart features and access to Gemini Notebook; the programme and quote follow within two business days.

FAQ

Frequently asked questions about Gemini training

Another question? Book a call →
Is there Gemini training for companies?

Yes. Colombani.ai, a Qualiopi-certified provider, offers Gemini training for companies in the organisation's Google Workspace domain: a half-day briefing for leadership and one day for business teams, on Gmail, Docs, Sheets, Slides, Meet, Drive, Gemini Notebook, skills, Deep Research and Workspace Studio. Console settings are checked with your administrator before the session.

How much does Gemini training for a company cost?

From €1,000 excl. VAT per half-day and €1,800 per day for an in-company group; final price depends on group size and length, on quote. Google Workspace subscriptions are paid by the organisation.

How long does a Gemini course for companies last?

A half day, with 4 hours of training, for the executive briefing; one day, with 6 h 30 of training, for business teams. One organisation can take both, on separate dates. With funding, the OPCO must be approached before the course starts.

Can Gemini training be funded by an OPCO?

An application can be made: Colombani.ai is Qualiopi-certified (certificate QUA009472). Funding is requested from the company's OPCO, or from the FIF-PL for self-employed professionals, and the decision rests with the funder. The programmes are not eligible for CPF.

What does Gemini cost in Google Workspace?

Gemini is included in the Workspace subscription. As at 30 October 2026, Google lists, per user per month with an annual commitment and excluding taxes, €6.80 for Business Starter, with Gemini in Gmail but not in Docs, Sheets or Slides, €13.60 for Business Standard and €21.10 for Business Plus. Business plans stop at 300 users; Enterprise is on quote. The AI Expanded Access add-on, which raises the caps, has no public price.

Can we put a client file into Gemini?

It depends on the edition and the file. In every business edition, Google commits not to train its models on your data without permission or prior notice; data can be stored in Europe from Business Standard, but only Enterprise Plus allows processing in Europe and logging of Google's access. Gemini Notebook falls outside data regions in every edition. The choice of edition does not, on its own, settle the question of professional secrecy, covered in the AI for regulated professions training.

Why does Gemini not appear in Gmail or Docs when it is switched on?

First thing to check: Workspace smart features. Google turns them off by default for domains in the European Economic Area, Japan, the United Kingdom and Switzerland, and Gemini in the apps requires them to be on. Two other causes to rule out are a Business Starter licence, which does not include Gemini in Docs, and Scheduled Release, which brings new features later.

What happens to our Gems?

Google is replacing them with skills. On 17 November 2026, Gems will move to the Gemini app's settings; no sooner than 1 March 2027, for Business and Enterprise, they will no longer be usable and the remaining Gems will become draft skills. Skills have been rolling out in the Gemini app since 13 October 2026; their arrival in Workspace apps is delayed, with no new date announced.

What is Workspace Studio?

The Google Workspace tool that automates a task through a series of steps handed to Gemini, triggered by an event or at a set time. It is part of every Business edition and, as at 30 October 2026, still in promotional access. Steps to third-party software and webhooks are off by default.

Does Google train its models on our data?

According to Google's privacy hub, Workspace does not use customer data to train models without the customer's permission or prior notice, and content is not reviewed by humans. Gemini only retrieves content the user can already access.

Does our data stay in Europe with Gemini?

It depends on the edition. The "Europe" region can be chosen for storing primary data at rest from Business Standard; processing in Europe requires Enterprise Plus, or Frontline Plus for the Gemini app, and the Assured Controls add-ons also cover Gemini features in Workspace apps. Gemini Notebook is the exception: region settings do not apply to its data.

Are NotebookLM and Gemini Notebook the same tool?

Yes. Google renamed NotebookLM to Gemini Notebook on 16 July 2026, stating that it is the same product. In Workspace, it copies imported Drive files, falls outside data regions and does not benefit from data loss prevention; Google publishes two contradictory answers on its certifications, to be confirmed in writing before putting sensitive data in it.

Google Workspace with Gemini or Gemini Enterprise?

Workspace is enough when work happens in Gmail, Docs, Sheets, Slides, Drive and Meet. Gemini Enterprise, a separate Google Cloud offering whose Business edition is listed from $21 per seat per month, is justified to work with data outside Workspace, use Google-made, custom or third-party agents, or keep Gemini Notebook data in a chosen area. The two can coexist.

Is the training on-site or remote?

Your choice: on-site anywhere in France, or remote. It is delivered in-house, for one to ten participants, so that everyone works on their work account in the Workspace domain and on their real documents, not on a personal Gmail account, which falls outside the organisation's contract.

Which certifications does the trainer hold?

Ulysse Trin, founder of Colombani.ai, holds the Claude Certified Architect Professional certification, issued by Anthropic, and nine practitioner certifications issued by OpenAI. He claims no Google certification. Colombani.ai is a Qualiopi-certified training provider.
